Which email platform does Fortiva support?
The Fortiva solution integrates with Active Directory® and Microsoft® Exchange, enabling IT staff to easily manage permissions and fully control employee access to archived data. Customers must be running Microsoft Exchange 2000, 2003 or 2007 with Active Directory Server to take advantage of the Fortiva solution.

Does Fortiva archive Instant Messages?
Fortiva supports the capture and archiving of instant messages through the use of third-party instant message proxy server software that you install in-house. The proxy server software captures instant message conversations and converts them into SMTP messages that are then sent to your Exchange server to be subsequently archived and full-text indexed in the same way as any other email message.

How does Fortiva archive Bloomberg email and Instant Bloomberg conversations?
Fortiva archives Bloomberg email and Instant Bloomberg conversations by retrieving Bloomberg log (dump) files from the Bloomberg FTP site. These log files are then converted into email messages that are archived using the normal email archiving process.

How are messages selected for review?
Messages are automatically selected for review if they violate a policy. In addition, organizations can enable random sampling to help an organization identify problems that would otherwise be missed. This can be an important step in helping to continually improve the corporate messaging policy.

Can I specify how many messages are selected for random sampling?
Yes. Fortiva allows you to specify the percentage of each user's email that should be sent to the supervision review queue. Additionally, the system allows you to set limits on the number of messages that are randomly selected. These caps can be set for each user, or for the company as a whole.

Can I define different sampling rates for different groups of users?
Yes. Random sampling options can be defined for everyone in a given role (job function) or department (organization unit) or on an individual person basis.

Can Fortiva serve as a Designated Third Party (D3P) downloader for SEC-regulated firms?
Yes. For purposes of compliance, Fortiva can serve as the Designated Third Party downloader service for broker-dealers as mandated by the U.S. Securities and Exchange Commission Rule 17a-4. As part of the Fortiva solution, the customer provides a key escrow service provider with copies of their encryption keys for safekeeping. If the customer chooses Fortiva to act as their Third Party Downloader, in the event that the SEC requests copies of their archived data, Fortiva will present proof of the SEC request to the key escrow service provider who will then release copies of the encryption keys to us. We will then export the requested data to the SEC.
